Accounts Officer

Position: Accounts Officer
Region: Windhoek, Namibia
Reporting to:
General Manager
Employer: Stage Audio Works – Southern Africa (Pty) Ltd

 

Role, duties, and responsibilities:

The purpose of this Windhoek-based accounts officer role is to ensure that the financial activities and procedures
are controlled, monitored, and managed in accordance with the company’s standard operating procedures. This
role will work closely with all departments and the management team to ensure that the company complies with
legislation and keeps with good business practices in order to get ongoing good financial audit results. In our
context, this includes overseeing the day-to-day financial controlling activities of the business.

A) Bookkeeping:
  • Reconcile client payments (EFT & POS) & Manage account reconciliation of maintained bank accounts.
  • Sending monthly statements to clients
  • Daily cashbook processing
  • Petty Cash Management
  • Attends to queries received from staff as well as suppliers or discrepancies on accounts and rectify
  • Debtor Management
    – Update debtors’ book on a weekly basis
    – Ensure AOD’s are in place
    – Ensure credit agreements are in place for clients requiring payment terms
    – Following up on outstanding payments
    – Ensure sales and payment procedures are followed to prevent unnecessary bad debts.
  • Creditor Management:
    – Update creditors book on a weekly basis
    – Assist with credit application forms.
    – Negotiate settlement discounts.
    – Negotiate payment plans where needed.
  • VAT Management:
    – Dealing with queries at NAMRA
    – Import VAT
  • Banking:
    – Loading payments
    – Authorizing Forex payments
    – Loading new creditor account details
  • SAP journaling

B) Compliance, Reporting & HR:

  • Maintain financial records & compile monthly financial reports.
  • Ensure that you are up to date with legal financial compliance requirements.
  • Ensure appropriate control procedures are in place and changes in procedures are tracked and updated accordingly.
  • Statutory payments: SSC, NTA VET & PAYE
  • Accurate record-keeping (digital & hard copy)
  • Facilitation of Annual Financial Audit & assist MD and GM with Audit queries

C) Stock & Asset Management

  • Conducting regular checks on receipt stock, ensuring correct procedures are followed to capture stock and record landed cost.
  • Conducting regular checks to ensure mistakes, inaccuracies and discrepancies are highlighted, addressed and resolved.
  • Management & control of fixed asset register and depreciation.

D) Admin:

  • Correct filing (digital & hard copy) of all financial documentation.
  • Management of archive documentation.

E) Ad Hoc Items:

  • To carry out any reasonable request from Leadership.

Minimum skills requirements and qualifications:

  • Certificate, B.com Degree in Finance Management or Accounting.
  • Min 5 – 7 years work experience
  • Can operate a computer with Office365 knowledge/experience.
  • SAP Business One experience is advantageous.
  • A valid driver’s license would be advantageous.
  • Excellent reporting and communication skills
  • Ability to work well with others.
  • Ability to take initiative.
  • Act with integrity & respect.
  • Well presented.
  • Excellent customer service skills.
